    Position Summary

    Reporting to the Audubon Pennsylvania Deputy Director, Operations and Center Director, the Facilities Coordinator will have responsibility for the maintenance of the buildings, condition of outdoor public space, and diverse bird habitat at the John James Audubon Center. S/he will also coordinate facilities-related support before, during and after rentals and other events at the Center, which include weddings, corporate meetings, and summer camp.

    Essential Functions

    • Coordinate physical set-up for all rentals and other events working directly with Audubon staff, outside caterer and customers; serve as the on-site supervisor during events, interacting with catering staff, rental parties and guests; supervise a team of “site assistants” who will assist in event preparation and supervision.
    • Along with the site assistants, clean restrooms, operate an industrial floor cleaner, wash windows, vacuum areas, set-up tables, chairs and/or A/V equipment, remove trash, open/secure buildings, and groom the grounds.
    • During events, keep restrooms clean and stocked, ensure vendors and guests adhere to established rules, shuttle guests in the Center’s golf cart, respond to questions/concerns from the caterer, identify and minimize safety hazards, monitor noise levels, and respond to and document any emergency incident or on-site accident.
    • Perform basic landscape activities such as maintenance of native plant gardens and bird feeding stations, mowing, trimming, and snow removal; identify, hire and supervise vendors (as needed) to assist with special projects such as tree trimming; supervise individual and group volunteers in the completion of landscaping or habitat projects.
    • Perform basic building and equipment maintenance, including minor repairs and janitorial tasks; identify, hire and supervise vendors (as needed) to perform large and/or more complicated repairs and maintenance such as HVAC service; supervise individual and group volunteers in the completion of building cleaning and maintenance projects.Work with conservation/education staff to improve bird habitat across the site and create outdoor “classrooms”.
    • Participate in weekly logistic meetings to coordinate activities across the site.
    • Perform regular facility walkthroughs (inside and out) to ensure a high standard of facility cleanliness, structural soundness, safety and efficiency; maintain impeccable maintenance records; pro-actively schedule and/or perform routine and preventative maintenance on buildings systems and equipment; respond to work orders from staff.
    • Assist in the maintenance and repair of exhibits, signs, and site furnishings; coordinate the installation of donor recognition brick, plaques and plantings.
    • Maintain a stock of regularly used housekeeping supplies and paper products; research and order equipment as needs arise.
    • Manage and prioritize tasks/work orders using on-line software.
    • Provide staff and volunteer trainings to ensure safe operation of equipment and appropriate use of chemicals; maintain OSHA records.
    • Work as critical member of the JJAC team; participate in staff meetings and task forces; proactively suggest solutions to operating challenges.

    Qualifications and Experience

    • High school diploma or equivalent required; associate degree or higher in a related field preferred. An equivalent combination of education and experience will also be considered.
    • 1-3 years' experience in landscape, habitat, or building maintenance and/or event management; experience working at a public park, historical site or property management firm a plus.
    • Is a problem solver, who can work independently and is resourceful.
    • Ability to manage multiple tasks through use of effective organizational and time management skills.
    • Good interpersonal skills and a positive work ethic; experience working with external groups highly preferred.
    • Friendly, energetic and empathic personality.
    • Ideally passionate about nature and conservation and the mission of Audubon.
    • Experience and comfort operating janitorial and maintenance equipment (such as ladders, vacuums, and floor cleaners) and supplies (such as cleaning solvents).
    • Must be able to work weekends, evenings and holidays in all weather conditions, when needed.
    • Must be able to engage in physical activity, such as lifting, bending, climbing stairs and ladders, and walking unpaved trails with steep hills.
    • Possesses a valid driver’s license with a safe driving record; driving a golf cart and other Audubon-owned vehicles will be part of the position's duties.
    • Ability to lift up to 50 lbs, including some moderately heavy objects, such as furniture, file cabinets, equipment, boxes, etc.
