Reporting to the center Director, the Manager, Operations & Facilities at the Audubon Center at Debs Park is responsible for the day-to-day operation and maintenance of the Platinum LEED Certified center. This role is responsible for all aspects of facility operations, such as managing capital projects, including permitting, contractor management, scheduling, compliance, and reporting; coordinating volunteers; and ensuring back-office processes in partnership with Audubon IT, legal, development, and finance are effectively executed.
• Oversee and enhance daily operational and administrative systems to create efficient and smooth functioning operations throughout the center; ensure compliance with NAS policies and procedures
• Manage front desk and special event attendants, volunteers, and volunteer program.
• In collaboration with center leadership, determine volunteer positions needed for day-to-day operations, special events, and other scheduling needs. Recruit and train volunteers continually to fill these positions.
• Support the Director in facility activities. Be the onsite point person for vendors, contractors, and service providers. Research various replacements as needed.
• In partnership with Audubon legal, ensure that all construction projects are compliant with federal, state, and local regulations.
• Oversee and direct construction projects from design to completion, on budget and timeline. Coordinate and direct all contractors and subcontractors necessary to complete project implementation.
• Oversee the operations of center facilities and general infrastructure systems. Establish and monitor preventative maintenance processes, including facility inspection, and programs for on-going review of maintenance work.
• Assist with reporting, reimbursement requests, contract management, and other facility responsibilities.
• In partnership with Audubon legal and finance departments, negotiate agreements, draft contracts, and secure all necessary permits.
• Manage the center facility rental program, including site prep and breakdown.
• Coordinate special events such as weddings, birthdays, and other ceremonies in collaboration with external vendor.
• Coordinate facility operations, including telecommunications, security, cleaning services, and others needed for the facility’s systems.
• Process finance tracking, billing, payments, donations, and mail.
• Complete maintenance tasks such as replacing plumbing parts, filter changes, and other required maintenance on facility systems. Complete and/or oversee minor repairs to exhibits and structures.
• Provide general office support as needed.
• Minimum of 5 years of experience in operations, logistics, program management, or similar setting, 3+ years management experience a plus.
• Working knowledge and experience of center or similar facility management a plus.
• Must possess basic knowledge of green technology, solar panel systems, HVAC, electrical, plumbing, building codes, trade standards and general practices with maintenance.
• Experience identifying and selecting qualified contractors for facilities work, managing a bid process, and supervising them to project completion.
• Experience coordinating, training and supervising volunteers as required; knowledge of current trends, resources and information related to volunteerism a plus.
• Ability to think strategically and creatively, while managing multiple tasks, meeting deadlines, and operating in a dynamic, fast-paced environment. Excellent attention to detail.
• Strong organizational and relationship building skills, including ability to motivate staff and volunteers essential.
• Comfortable speaking to the public and engaging with community members to communicate program objectives and project goals.
• Excellent interpersonal, written and communication skills.
• Proficient computer skills including Microsoft Office Products, including Outlook, Word and Excel.
• Ability to work independently as well as part of a team.
• Desire to work with diverse communities not typically engaged in conservation efforts.
• Experience and familiarity with the natural history, outdoor education, conservation communities a plus.
• Bilingual English-Spanish preferred.
• Ability to work flexible schedule (weekends, evening, holiday) as required. Willing and able to occasionally work outside of the normal Tuesday through Saturday schedule.
• Direct experience in Los Angeles market is highly desirable, particularly within northeast Los Angeles.
