Position Summary

The Senior Coordinator, Contracts, will work closely with the program and operations teams to ensure procedural compliance on contracts, including partner and vendor subcontracts for grant-funded conservation programs across the state, focusing on the Central Valley, Salton Sea, and Conservation Ranching programs. The Senior Coordinator will serve as a technical resource and will be responsible for procedures that optimize the efficiency of the contract management process.

 

Compensation:

$70,000 / year

Essential Functions

  • Prepare and ensure timely and accurate preparation of contractual agreements and leases from initial drafts to finalized contracts.
  • Shepherd agreements through review, signature, distribution, and filing processes, ensuring all internal due diligence is completed and contracts conform to Audubon policies.
  • Evaluate agreement complexity and solicit input and/or approval from Audubon's Office of the General Counsel, grants team, and/or contracts team, as applicable.
  • Ensure all salient terms and conditions are included, proper forms are used, and all attachments and referenced exhibits are in place.
  • Provide support to program staff in all phases of the contract process from concept through closeout, including facilitating the resolution of issues related to grant implementation and compliance.
  • Assist program leads with contract terms and provide information to support contract negotiation activities. Research complex contracting issues and provide recommendations for resolution.
  • Follow-up with program staff to secure missing documents, information, and forms. As needed, communicate directly with contractors and grantees to obtain required documents.
  • Provide the finance team with accurate information for internal accounting systems.
  • Maintain accurate files and secure sensitive financial items and information. Perform periodic reviews of files and grants to ensure timely project progress and compliance with federal guidelines and Audubon's internal policies.
  • Keep local and regional staff apprised of grant compliance requirements.
  • Assist in the preparation and submission of invoices and financial reports to funding agencies. Assist project managers and grants team with financial and programmatic reporting to funders as needed.
  • Respond to routine inquiries for information, or route to the appropriate staff member.
  • Provide general office support including but not limited to opening and sorting mail, printing and photocopying.
  • Other job-related duties as assigned.

Qualifications and Experience

  • Bachelor's Degree in business administration, finance, accounting or other relevant field required. An equivalent combination of education and experience will also be considered.
  • Three years' experience in contracts and government grant administration required; experience working in accounting systems preferred.
  • Working knowledge of contracts and grants management principles and procedures.
  • Strong administrative, analytical, and organizational skills, paired with customer service orientation and strong communication skills.
  • Ability to take initiative in a fast-paced work environment and interface with all functions at all levels within and outside of the organization.
  • Proficiency with MS Office products required, proficiency with contract management systems and project management systems such as Asana desirable.
  • Ability to work independently as well as part of team.
  • Demonstrated ability to exercise discretion and maintain strict confidentiality.
